The Client Relations Coordinator will focus on maintaining consistent communication with potential and existing clients, conducting daily follow-ups, and ensuring smooth coordination of all client-related tasks.
The role also includes supporting the COO with scheduling, task management, documentation, and internal coordination.
This position requires strong communication skills in Russian and English, excellent organization, and the ability to work independently and professionally.
Key Responsibilities
- Client Follow-Up & Communication
- Make daily follow-up calls to potential and existing clients.
- Maintain regular communication with leads, investors, and interested buyers.
- Track client inquiries, updates, and requirements, and share relevant information with the COO.
- Follow up on pending decisions, requests, and information needed from clients.
- Maintain a structured follow-up system to ensure consistent engagement.
COO Support
- Support the COO with scheduling, reminders, and priority management.
- Prepare short reports, summaries, call logs, and follow-up lists.
- Assist with daily task tracking and ensuring deadlines are met.
- Support various administrative tasks assigned by the COO.

- Maintain and update client databases, CRM entries, and follow-up logs.
- Draft clear and professional emails and messages in Russian and English.
- Keep internal records organized and updated.

Operational Support
- Assist in preparing documents, presentations, and meeting notes.
- Support the coordination of client-related activities and internal tasks.
- Ensure smooth communication flow between the COO, staff, and clients.

- Handle all information with strict confidentiality.
- Represent Prime Palaces Real Estate professionally in all interactions.
- Maintain high communication standards in both languages.
Requirements Languages
- Fluent Russian and English (spoken and written) – mandatory.
Experience
- 1–3 years of experience in client relations, sales coordination, customer service, admin, or PA/EA roles.
- Experience with client follow-ups and phone communication is preferred.
- Real estate experience is an advantage but not mandatory.
Skills
- Strong communication and confident phone manner.
- Excellent organization, time management, and multitasking abilities.
- Proficiency in MS Office and Google Workspace.
- Ability to work independently, meet deadlines, and prioritize effectively.
- High attention to detail and consistent work ethic.
